1. Data We Collect
CloudPilotWorks collects personal data necessary to provide cloud infrastructure consulting services. This includes: name, email address, phone number, company name, and technical infrastructure details you voluntarily submit through our contact forms or direct communications.
2. Purpose of Processing
We process your data solely for: (a) responding to service inquiries, (b) delivering contracted cloud migration and optimization services, (c) maintaining operational communications regarding active projects, and (d) complying with legal obligations under Danish and EU law.
3. Legal Basis
Processing is based on Article 6(1)(b) GDPR (contractual necessity), Article 6(1)(a) GDPR (consent for marketing communications), and Article 6(1)(f) GDPR (legitimate interest in service improvement).
4. Data Retention
Personal data is retained for the duration of the business relationship plus 5 years as required by Danish accounting legislation. Marketing consent data is retained until withdrawal of consent.
5. Your Rights
Under GDPR, you have the right to: access your data (Article 15), rectification (Article 16), erasure (Article 17), restriction of processing (Article 18), data portability (Article 20), and objection (Article 21). Contact us at [email protected] to exercise these rights.
6. Data Transfers
Infrastructure service data may be processed on cloud servers located within the EU/EEA. Any transfers outside the EU/EEA are protected by Standard Contractual Clauses (SCCs) approved by the European Commission.

Refund Policy

1. Scope
This Refund Policy applies to all cloud infrastructure consulting, migration, optimization, and management services provided by CloudPilotWorks.
2. Milestone-Based Billing
All projects are billed on a milestone basis as defined in the Statement of Work (SOW). Each milestone payment is due upon completion and client approval of the corresponding deliverable.
3. Refund Eligibility
Before Work Begins: Full refund within 14 days of payment if no work has commenced on the corresponding milestone.
During Active Work: Refunds for work in progress are prorated based on completed deliverables. An assessment of work completed will be documented and shared with the client.
After Delivery: No refunds are issued for completed and approved milestones. If deliverables do not meet the specifications outlined in the SOW, CloudPilotWorks will provide remediation at no additional cost.
4. Refund Process
Refund requests must be submitted in writing to [email protected]. Approved refunds are processed within 14 business days to the original payment method.
5. Dispute Resolution
In the event of a dispute regarding refund eligibility, both parties agree to first attempt resolution through good-faith negotiation. Unresolved disputes shall be subject to Danish law and the jurisdiction of Copenhagen District Court.
6. Consumer Rights
If you are a consumer within the EU, you have the right to withdraw from a service contract within 14 days of conclusion, as per the Danish Consumer Contracts Act (Forbrugeraftaleloven), provided the service has not yet been fully performed with your prior consent.
Terms of Service

1. Acceptance of Terms
By engaging CloudPilotWorks for cloud infrastructure services, you agree to be bound by these Terms of Service. If you do not agree, do not use our services.
2. Services
CloudPilotWorks provides cloud migration, optimization, management, and consulting services. The specific scope, deliverables, and timelines for each engagement are defined in a separate Statement of Work (SOW) agreed upon by both parties.
3. Client Obligations
The client shall: (a) provide timely access to infrastructure, credentials, and documentation necessary for service delivery; (b) designate a point of contact for project communications; (c) review and approve deliverables within the timeframe specified in the SOW; and (d) ensure all provided credentials and access are authorized.
4. Payment Terms
Invoices are issued per milestone as defined in the SOW. Payment is due within 30 days of invoice date. Late payments incur a statutory interest rate in accordance with Danish Interest Act (Renteloven). All prices are in EUR unless otherwise specified and are exclusive of applicable VAT.
5. Intellectual Property
Upon full payment, the client receives ownership of all custom configurations, scripts, and documentation produced specifically for their engagement. CloudPilotWorks retains ownership of proprietary tools, frameworks, and methodologies used in service delivery. CloudPilotWorks may use anonymized project data for portfolio and marketing purposes.
6. Confidentiality
Both parties agree to maintain the confidentiality of all proprietary information exchanged during the engagement. This obligation survives termination of the agreement for a period of 3 years. CloudPilotWorks will not access, store, or process client data beyond what is necessary for service delivery.
7. Limitation of Liability
CloudPilotWorks' total liability shall not exceed the total fees paid for the specific service giving rise to the claim. CloudPilotWorks is not liable for indirect, consequential, or incidental damages, including but not limited to loss of revenue, data, or business opportunity, except in cases of gross negligence or willful misconduct.
8. Service Level Agreements
SLA terms for ongoing management services are defined in the individual SOW. Standard SLA guarantees include 99.9% uptime for managed infrastructure and 24/7 critical incident response within 15 minutes.
9. Termination
Either party may terminate an engagement with 30 days written notice. The client shall pay for all work completed up to the termination date. CloudPilotWorks will provide reasonable transition assistance for 14 days following termination.
10. Governing Law
These Terms are governed by and construed in accordance with the laws of the Kingdom of Denmark. Any disputes shall be subject to the exclusive jurisdiction of the Copenhagen District Court (Københavns Byret), unless otherwise agreed in writing.
11. Force Majeure
Neither party shall be liable for delays or failures in performance resulting from causes beyond reasonable control, including but not limited to natural disasters, war, government actions, internet outages, or third-party cloud provider failures.
12. Amendments
CloudPilotWorks reserves the right to modify these Terms at any time. Clients will be notified of material changes at least 30 days in advance. Continued use of services after notification constitutes acceptance of the modified Terms.
